How to use AI for onboarding new employees

Use AI to prepare a new hire's onboarding, not to do the people part of it. Ask it to draft the 30/60/90-day plan, the first-week schedule, a glossary of your team's terms and answers to the questions every new hire asks; then the manager and a buddy do the welcoming, introductions and feedback. That combination matters: SHRM, citing Gallup, notes that only 12 percent of employees felt their company did a great job with onboarding.

Short answer

  • AI drafts: the plan, the first week, a glossary, a question-and-answer set.
  • People do: the welcome, introductions, feedback, judgement.
  • A company project or shared skills give the new hire answers on demand.
  • Keep personnel data out of anything the AI reads.

A worked example

Illustration: a made-up business. A 30-person accounting software company hires Mei as a customer success manager, starting in two weeks. Her manager, Dev, has two hours to prepare.

  • Plan (20 minutes): from the role brief, AI drafts the 30/60/90 days. Dev changes the 60-day goal from "own 20 accounts" to "own 12", because the book is smaller than the brief says.
  • First week (15 minutes): a day-by-day schedule. Dev books the five people Mei should meet.
  • Glossary (25 minutes): built from the help centre and the last quarter's internal notes; Dev fixes four definitions.
  • A project for Mei on the company's Claude Team plan, with the handbook, glossary and support macros, so "how do we handle a refund request?" gets an answer at 9pm on day three.

Dev spends the time he saved where AI can't help: a lunch on day one and 15 minutes every afternoon of the first week.

Set it up for your next hire

  1. Write a short role brief: what the person will own, with whom, using which tools.
  2. Have AI draft the plan and first week, then set the goals yourself.
  3. Build a glossary and an answer set from your handbook and how-tos.
  4. Put them in a company project or shared skills the new hire can ask from day one.
  5. Book the people part: welcome, buddy, daily check-ins for the first week.

Next step

Your new hire will also need to learn how your team uses AI itself: teach a new hire your team's AI workflow on day one. If the plan and answer set are written as shared skills, every manager runs onboarding the same way; AI skills, explained covers the idea, and Claude skills for recruiting the hiring skills that come before onboarding.

Questions

How can AI help with onboarding new employees?

By preparing the material: a 30/60/90-day plan, a first-week schedule, a glossary of your team's terms, and answers to the questions new hires always ask. The manager and the buddy still do the welcoming, the introductions and the feedback.

Can I give a new hire an AI assistant that knows our company?

Yes: a project or shared skills with your handbook, glossary and how-tos, on a company plan. It answers 'where is…' and 'how do we…' questions; keep personnel files and anything confidential out of it.

What shouldn't AI do in onboarding?

Anything that needs a person: the welcome, introductions, judging how the new hire is doing, and personal conversations. AI prepares; people onboard.
