Guide
How to write a sales follow-up email with ChatGPT
To write a sales follow-up with ChatGPT, paste your call notes and ask for a same-day recap: at most three bullets in the buyer's own words (their problem, what they want by when, what you agreed), one next step with who does what by when, and one question at the end. Keep it under 150 words and send it the day of the call. Before sending, check every name, date and number against your notes; the AI only knows what you pasted.
Short answer
- Same day: a recap, three bullets at most, in their words.
- One next step with a date; for a meeting, two specific times.
- One question at the end, answerable in a line.
- Day 3 and day 7: shorter nudges in the same thread, each adding something new.
The brief to copy
Follow-up brief
"Write a same-day follow-up to [name, role] at [company] from my call notes below.
Subject: '[their company] + [my company]: recap and next step'.
Recap in at most three bullets, using their words: their problem, what they want by when, what we agreed. No feature list.
Next step in one line: who does what by when. If it's a meeting, offer two specific times.
End with one question they can answer in a line. Under 150 words, not counting greeting and signature.

A worked example
Illustration: a made-up business. Rosa sells scheduling software to landscaping companies. After a call with Kim, the operations manager at Greenline Landscaping, she pastes her notes into the brief. The draft:
The draft (86 words, body only)
Subject: Greenline + Fieldday: recap and next step
Hi Kim,
Thanks for the time today. What I heard:
- Two of your three crews start the day without the job list, so the first hour goes on phone calls.
- You want every crew on the same schedule before spring, by 1 March.
- We agreed on a two-week trial with one crew.
Next step: I'll send the trial setup guide by Thursday; you'll pick the crew. If a 20-minute setup call helps, Tuesday at 10am or Wednesday at 2pm works for me.
Which crew should we start with?
Rosa
Rosa checks the date (1 March) and the crew count against her notes, and sends it with her usual signature, which carries three lines: that this is a sales message from her company, the company's postal address, and "Reply 'no thanks' and I won't email again". She stops emailing anyone who opts out within ten business days.
If Kim doesn't reply, the nudges follow in the same thread: on day 3, under 60 words, the guide attached and the crew question again; on day 7, under 50 words, with one new thing, such as how another landscaping company ran its first week.
Check before you send
- Every name, date and number matches your notes.
- The bullets use their words, not your product's.
- One next step, one question, nothing else to answer.
- Nothing confidential went into a personal AI account; see what not to paste.
- The email rules: in the US, the FTC treats an email whose main purpose is to sell as commercial, even after a call. A commercial email must say it's an ad, carry your postal address and offer an opt-out you honor within ten business days, so keep all three in the signature.
Next step: stop retyping the brief
If you write follow-ups every week, you'll soon paste this brief every time. Sales prompts, saved shows where to keep it so you just ask for "a follow-up to Greenline, notes below". For the first email before any call, see writing a prospecting email with ChatGPT.

Questions
How do I write a follow-up email after a sales call with ChatGPT?
Paste your call notes and ask for a same-day recap: at most three bullets using the buyer's own words, one next step with who does what by when, and one question at the end. Keep it under 150 words, and check every detail against your notes.
How long should a sales follow-up email be?
Short. Boomerang's study of over 40 million emails found 50 to 125 words got the most replies. A same-day recap can run to 150 words; a nudge a few days later should be under 60.
Does CAN-SPAM apply to a follow-up after a call?
It can. The FTC says messages whose primary purpose is a transaction or an existing relationship are exempt from most rules, but it reads those categories narrowly, and an email mainly selling your product is commercial. Then it must say clearly that it's an advertisement and carry your postal address and an opt-out. Put all three in your signature to be safe.
