Why Notion adds company-domain contractors as paid members, not guests, and how to give them only your AI skills

Notion adds anyone whose email is on your organization's domain as a paid member, not a guest, whether or not you're under your plan's guest limit. To add a guest, Notion's help says to use an address outside those domains, "like a contractor's or client's own email." So a contractor you gave a company address costs a seat, and once they're a guest their own AI can't connect to Notion. If what they need is your team's AI procedures, keep the documents in Notion and share only the AI skills another way.

Short answer

  • The rule: an allowed domain, the workspace owner's domain or a verified domain makes a paid member.
  • Guests: free, see only the pages they're invited to, and can't connect Notion MCP.
  • Three ways: invite their own email as a guest, pay for the member seat, or keep documents in Notion and share AI skills through AI Skill Pod.
  • AI Skill Pod is per seat too, and it shares AI skills, not documents.

Notion's rule: company-domain addresses aren't guests

In the FAQ of "Manage members, admins & guests", Notion's help says people who use one of your organization's email domains "are added as paid members, not guests", whether you're above or below your plan's guest limit. It names three kinds of domain:

  • An allowed email domain: one you set under Settings → General so people on it can join automatically.
  • The workspace owner's domain: this applies even if you never set an allowed domain. If the owner signed up with a company address, everyone on that domain becomes a member.
  • A verified domain of the workspace.

Sharing a page with them doesn't change it: people on your domains are added as members whether they join or you share a page. To add a guest, Notion's help says to use an address outside these domains.

Notion's pricing FAQ says paid plans charge for each member and guests are free, though a guest opens only the pages they're invited to. The pricing table's external guest limit is 10 on Free; the Plus, Business and Enterprise columns show a check mark and no number.

One exception: you can invite a Notion Marketplace consultant as a "temporary member", with an expiry date up to a year out, and it doesn't use a paid seat. Notion's help describes it for Marketplace consultants only, not for contractors in general.

As a guest, a contractor's AI can't reach Notion

Notion's developer docs say only workspace members can connect Notion MCP, and a guest who tries is refused. So a contractor who is a guest can't have their own ChatGPT or Claude read your Notion pages or use your team's Notion skills.

A member can connect on any plan. But Notion's help warns that MCP tools act with your full Notion permissions: they reach everything that person can open. Make a contractor a member and their AI reads every page they can see. For skills themselves, the only plan Notion states is in its 20 March 2026 release note: Business and Enterprise.

Three ways to handle contractors

1. Invite their own email as a guest

This is what Notion suggests. Open Share at the top right of the page, enter their own address, pick the access level and select Invite, then select Skip for now so they're added as a guest, not a member. If they're already a member on the company address, remove them first (Settings → Members, or People on some plans; on the Members tab, Remove from workspace), then invite again. Removing someone hides the pages in their Private section, so move anything you need first.

It costs nothing. Two things to weigh:

  • The account is theirs. With a company address, your company controls the email they sign in with. An account on their own address is one you can't close. What you can do is stop sharing: an owner or membership admin removes them on the Guests tab under Settings → Members. What happens to their copies at the end is up to the agreement.
  • Their AI can't use it. Guests can't connect Notion MCP, as above.

It suits a job that needs a few pages and none of your AI procedures. A guest sees only the pages they're invited to, which keeps what they see narrow.

2. Keep the company address and pay for the seat

Your company keeps control of the address and the account, and their AI can connect to Notion MCP. Per seat, billed yearly, Plus is $10 a month and Business $20 (billed monthly, $12 and $24). For Notion skills too, you need Business or above.

In exchange, a member can access the whole workspace (Notion's help), and so can their AI, anywhere they can open a page. Close off what a contractor shouldn't see with teamspace and page permissions before they join.

3. Keep documents in Notion and share AI skills through AI Skill Pod

If the reason for a seat is that you want contractors' AI to follow your team's procedures, you don't need a Notion seat for that part. AI Skill Pod keeps your team's AI skills (how to write a proposal, the format of a report, a review checklist: instructions that tell an AI how your team does one job) in one place, and each member's AI reads them through one MCP link. Notion's domain rule doesn't apply: people join with a company address or their own.

  1. Send the contractor invite link from the People page on Business. Anyone who joins with it is a contractor: they don't get skills shared with Employees, or the company context only employees get.
  2. They add one link to their AI. Claude takes it as a custom connector; ChatGPT on Pro, Business or Enterprise as a custom MCP server (on Business an admin or owner adds it). Claude Code, Codex, Cursor and OpenCode take the same link.
  3. Share only the skills they need: on a skill's "Who gets this", pick them, or Everyone. By default on Business, contractors are use-only: the app shows them a skill's name and description, not its text, and they can't download it.
  4. Remove them when the contract ends. Their AI stops reaching your skills at that moment, and the contractor link is replaced.

In Notion, invite them as guests on their own email to the pages they need, or not at all.

Where AI Skill Pod is no better than Notion, or weaker:

  • It's per seat too. Contractors count as seats. Business is $15 per seat a month, with a 5-seat minimum.
  • It shares AI skills, not documents. No pages, no databases, no memory of conversations. It doesn't replace Notion.
  • Use-only still sends the text to their AI. An AI follows a skill by reading it, so the contractor can ask their AI to show it. Share only procedures you'd hand them as a document.
  • Keeping contractors apart is a Business feature. New teams get all of Business free for 14 days. On Team and Free there are no contractors: everyone you invite gets and can edit the skills employees get. The exception is a team that was on Team before contractor separation moved to Business: it keeps it, and its contractors can edit the skills shared with them; use-only is Business only. (A contractor link made during the trial keeps making contractors after a move to Team or Free; they then use, and can't edit, what's shared with them.)
  • Removing someone doesn't recall copies they already made.

What it costs: one paid seat plus 3 or 10 contractors

Monthly cost for a team where one person pays for Notion and three or ten contractors work with them, every row billed monthly. Notion's prices are from its pricing page on 5 November 2026.

Option3 contractors (four people)10 contractors (eleven people)
1. Contractors as guests on their own email (Notion Plus for one)$12$12
1. The same, Notion Business for one$24$24
2. Everyone a paid member (Notion Plus)4 × $12 = $4811 × $12 = $132
2. Everyone a paid member (Notion Business)4 × $24 = $9611 × $24 = $264
3. Notion Plus for one, AI Skill Pod Business for everyone$12 + $75 = $87 (four people pay the 5-seat minimum)$12 + 11 × $15 = $177

Every row is billed monthly. Billed yearly, Notion Plus is $10 and Business $20 per seat a month, and AI Skill Pod Business is $150 a seat a year (10 months of the monthly price). $15 is the early-bird price. Start by 11 December 2026 (or among the first 50 teams) and keep today's price for as long as you stay subscribed. Teams that start later pay $20 per seat a month. What each contractor pays for their own AI is their own plan. AI Skill Pod isn't affiliated with Notion.

Option 1 is the cheapest. At the early-bird price, option 3 costs less than making everyone a Notion Business member and more than making everyone a Plus member, with 3 contractors and with 10. At the list price of $20 a seat ($112 and $232), it's the most expensive row with 3 contractors, and still below everyone on Business with 10. You'd pay for option 3 for what the money buys, not the price: your procedures reach the contractor's own AI, they stay out of employee skills, and access ends when you remove them. If you don't need contractors kept apart, AI Skill Pod Team is $5 per seat a month (3-seat minimum), but contractors then get and can edit the same skills as employees.

Example: check the agreement before you invite a personal email

Illustration: a made-up business. Harbor Lane Studio, a two-person web studio, pays for Notion Plus for its founder only. It gave its three freelance writers company addresses, and on those addresses Notion adds them as paid members, not guests. The founder picks option 3: in Notion she re-invites each writer as a guest on their own email, and the studio's writing procedures go through AI Skill Pod. Since the studio can no longer close those accounts, the agreement has to say what happens at the end, so she has her AI check an excerpt of the next writer's agreement first.

What she gave the AI

Harbor Lane Studio (the company) hires Dana Reyes to write articles. Dana works on her own laptop, reads the project pages in Notion as a guest on her personal account, delivers one article at a time, and writes for other clients too. Both are in California. From the agreement:
§8 Contractor shall not disclose any information of Company or its clients learned in the course of the Services to any third party.
§12 On termination, Contractor shall return all materials received from Company.
§13 Either party may terminate this Agreement on 30 days' written notice.

The start of the AI's answer:

AreaRatingWhat it says (quote, section)Note
ConfidentialityYellow"shall not disclose any information of Company or its clients … to any third party" (§8)No term, and silent on whether it survives the end of the agreement.
TerminationYellow"return all materials received from Company" (§12); "on 30 days' written notice" (§13)Either side can exit. "Materials" may not cover copies in her own accounts; nothing says return or delete, or how that's confirmed. Payment for work done is not in the excerpt.
IP assignmentYellowNot in the excerpt[check: full agreement]

Its first fix: add to §12 that copies in her own accounts and devices are deleted within a set number of days after the end, and that she confirms it in writing. The studio made that change before sending the invite. Its article structure and style rules are AI Skill Pod skills, shared use-only with the three writers' Claude. Next step: pick the skills, then invite and offboard

Once you've chosen how to handle Notion, the next question is what to hand contractors and how. The invite link, connecting their own AI, and removing them when the work ends are in how to give contractors your team's AI skills. How Notion's MCP, memory and skills work overall is in Notion's shared brain for ChatGPT and Claude, and the skills side by side in AI Skill Pod vs Notion skills.

Questions

Why can't I invite someone as a guest in Notion?

Their email is on your organization's domain. Notion adds anyone with an allowed email domain, the workspace owner's domain or a verified domain as a paid member, not a guest, whatever your guest limit. To make someone a guest, invite an address outside those domains, such as their own email.

What's the difference between a Notion guest and a member?

A member can access the whole workspace and is charged on paid plans. A guest is free and opens only the pages they're invited to. Guests also can't connect Notion MCP, so their own ChatGPT or Claude can't use Notion.

How many guests can a Notion workspace have?

On Notion's pricing table, read on 5 November 2026, the external guest limit on Free is 10; the Plus, Business and Enterprise columns show a check mark and no number. People on your company's domain become paid members either way.

Can I change a Notion member to a guest?

Notion's help page on managing members, admins and guests has steps to turn a guest into a member, and none for the reverse (as of 5 November 2026). A company-domain address can't be a guest. To make someone a guest, remove them from the workspace and invite their own email to the pages they need; once removed, their private pages are hidden.

What if the contractor uses ChatGPT Plus?

OpenAI doesn't list ChatGPT Plus for custom MCP connectors. AI Skill Pod works in Claude, and in ChatGPT on Pro, Business and Enterprise.

What happens when I remove a contractor from AI Skill Pod?

Their AI stops reaching your skills the moment you remove them, and the contractor invite link is replaced. Anything they already copied stays with them.

Does AI Skill Pod replace Notion?

No. AI Skill Pod holds your team's AI skills only: no documents, no databases, no memory of conversations. Keep your documents in Notion and give contractors' AI the procedures.

AI skill

Have your AI check a contractor agreement before you sign

Put this skill in AI Skill Pod and everyone on your team gets it in their Claude, Cursor or ChatGPT (Pro, Business, Enterprise): one invite link, free to start. Invite a contractor on their own email and your company can't close that account, so the agreement is what's left. Contractor agreement checklist has your AI check how long confidentiality lasts and what happens to your materials at the end, quoting each clause, then list the top fixes and the questions for counsel.
