Guide
How to turn sales call notes into CRM notes with AI
To turn a sales call into a CRM note with AI, paste the transcript or your rough notes and ask for a plain-text note with one field per line. It holds only what the buyer said or confirmed, not what you pitched. Pain and its cost go in separate fields, with "no number given" if they gave none. Budget, authority and timeline are written exactly as stated, or "not discussed". Then one next step with who, what and a date, up to four risks, and a suggested stage that the evidence supports, with a one-line reason. Keep it under 200 words and check every name and date against the call.
Short answer
- Only the buyer's words, not your pitch.
- Pain and impact apart; "no number given" if none.
- Budget, authority, timeline as stated, or "not discussed".
- Plain text, one field per line, under 200 words.
The brief to copy
CRM note brief
"Turn this call into a CRM note. Plain text, one field per line, no Markdown, under 200 words.
Use only what the buyer said or confirmed. Quote short phrases where the wording matters.
Fields: Pain; Impact (money, hours or risk, or 'no number given'); Budget; Authority (who signs, who else weighs in); Timeline (or 'not discussed'); Next step (who, what, date, or 'none agreed'); Stage suggestion with a one-line reason; Risks (up to four, worst first); Competitors mentioned; Notes (one or two lines).
Our stages: [list]. Suggest the stage the evidence supports, not the one we hope for.

A worked example
Illustration: a made-up business. After a 30-minute call with Kim, operations manager at a landscaping company, Rosa pastes her notes. The note:
Call: 3 Nov - Greenline Landscaping - discovery
Attendees: Kim Lee (operations manager); Rosa (account exec)
Pain: two of three crews start the day without the job list
Impact: "the first hour goes on phone calls" - no money figure given
Budget: not discussed
Authority: Kim recommends; the owner, Dan, signs
Timeline: all crews on one schedule by 1 March
Next step: Rosa sends the trial setup guide by Thursday 5 Nov
Stage suggestion: Discovery (current: Qualified) - signer not met yet
Risks: [1] owner not yet involved [2] budget not discussed
Competitors mentioned: none
Notes: Kim wants a two-week trial with one crew first.
Rosa checks the dates and the owner's name against her notes. The stage goes down, not up: the signer hasn't joined a call, and the deal stage's probability weights the pipeline, so a stage set too high inflates it.
Check before you save
- Every field is the buyer's, not yours.
- Nothing is estimated: missing numbers say so.
- The next step has a date, or "none agreed" is the first risk.
- The stage matches the evidence, with a reason.
- Recorded calls: follow the consent rules where you and the buyer are, and keep transcripts in a company account; see what not to paste.
Next step: keep the brief
Every call ends with the same note. Sales prompts, saved shows where to keep the brief, and the sales follow-up email covers the email that goes out the same day.
Skills for this
- SalesCall summary to CRM notesTurns a call transcript into CRM-ready plain-text fields: pain, impact, budget, authority, timeline, next step, stage suggestion and risks.
- SalesSales follow-up emailWrites the follow-up after a sales call: a recap in the buyer's words, the next step with a date, one ask, plus day 3, day 7 and breakup nudges.
- SalesDeal review with MEDDICC or BANTScores a deal against MEDDICC or BANT from the buyer's own words, lists each gap with a next action, and suggests a forecast category.
Questions
Can AI write CRM notes from a sales call?
Yes, from a transcript or your rough notes. Ask for only what the buyer said or confirmed, with pain and its cost in separate fields, budget, authority and timeline exactly as stated or 'not discussed', one dated next step, and a stage the evidence supports. Paste it as plain text.
What should a sales call note in the CRM include?
Pain, impact, budget, authority, timeline, next step, a suggested stage with a one-line reason, up to four risks, competitors mentioned, and a line of notes for the next rep. Write 'no number given' or 'not discussed' instead of guessing.
Why shouldn't I paste Markdown into my CRM?
HubSpot and Pipedrive note editors format text with a toolbar, so Markdown symbols can show up as literal characters. Plain text, one field per line, also fits single-line custom fields and mobile apps.
