How to write a meeting agenda with AI
ChatGPT or Claude can turn a meeting's goal into an agenda that ends in results, or tell you to cancel. Give it the goal, the length and who's coming, and ask for: one sentence stating the outcome ("choose the launch date and confirm owners", not "launch"); each topic rewritten as a question to answer; a tag on each item (decide, discuss or inform) with an owner and minutes that add up to the meeting; the hardest decision first or second; five minutes at the end to read back decisions; pre-reads with what to look for; and which attendees are optional. If nothing needs deciding or discussing, ask it to say so and draft the update instead. The researcher Steven Rogelberg's test: if you can't think of questions, you likely don't need the meeting.
Short answer
- One outcome sentence.
- Topics as questions, tagged decide, discuss or inform.
- Owners and minutes that add up.
- No questions: cancel and send an update.
The brief to copy
Agenda brief
"Write the agenda for this meeting.
Start with the outcome in one sentence: a result, not a topic.
Turn each topic into a question. Tag each: decide (we leave with an answer and a named decider), discuss (live input, and what it's for), or inform.
Give each item an owner and minutes; put the hardest decision first or second; keep 5 minutes at the end to read back decisions and actions. Times must add up to the meeting.
List pre-reads with what to look for. Mark attendees not needed for any decide or discuss item as optional.
If no item is decide or discuss, recommend cancelling and draft the written update.

A worked example
Illustration: a made-up business. A product lead has 45 minutes with six people and three topics: the launch, pricing, and the support rota. The agenda:
The agenda
Outcome: choose the launch date and confirm who owns each launch task.
1. Decide (15 min, Mia decides): launch on 1 December or 8 December, given the payment provider's review?
2. Decide (10 min, Tom decides): keep the annual discount at launch?
3. Discuss (10 min, Ana): what does support need from us in launch week, to staff the rota?
4. Inform (5 min, Leo): the new help articles are live.
5. Read back decisions and owners (5 min).
Pre-read: the payment provider's email, the dates in the second paragraph.
Optional: the designer; the help articles update will be in the notes.
The times add up to 45 minutes. The product lead sends the agenda a day ahead with the pre-read, and the designer gets the notes afterwards.
Before you send it
- Check every item is a question someone can answer in the room.
- Name the decider for every decide item.
- Check the minutes add up, with time to read back.
- Send it a day ahead, with pre-reads short enough to read.
- Save the brief for the next meeting.
Next step: the minutes
An agenda of questions makes minutes easy: each question gets its answer. Saving a meeting minutes prompt covers the minutes, and one minutes format for the whole team the team version.
Skills for this

Questions
Can AI write a meeting agenda?
Yes. Give it the meeting's goal, the length and who's coming, and ask for one outcome sentence, each topic rewritten as a question, a tag on each (decide, discuss or inform), an owner and minutes that add up to the meeting, pre-reads, and which attendees are optional. Ask it to recommend cancelling if nothing needs deciding or discussing.
What makes a good meeting agenda?
A result rather than a topic ("choose the launch date and confirm owners"), questions instead of headings, the hardest decision first or second, times that add up, and five minutes at the end to read back decisions and actions.
When should I cancel a meeting instead?
When every item is information someone could send. Steven Rogelberg, who researches meetings, puts it simply: if you can't think of any questions, you likely don't need a meeting. Send the update instead.
