How to save a meeting minutes prompt in ChatGPT or Claude

A good meeting minutes prompt asks for what people who missed the meeting need: decisions first (only what was agreed), then action items with one named owner, a verb-first task and a due date each, then open questions, three to five bullets of discussion, and any agenda item not covered. Save it once, in a ChatGPT or Claude project's instructions or as a Claude skill, and from then on you only paste the transcript and say "minutes".

Short answer

  • Decisions first, only what was agreed.
  • Every action: one owner, a verb, a date or "no date set".
  • Then: open questions, a short discussion, what wasn't covered.
  • Save it in a project or as a skill; paste only the transcript.

The prompt to save

Turn the transcript or notes I paste into minutes for people who
missed the meeting.

Title and date, attendees.
Decisions: only what was agreed, one line each, with the reason
if it was stated. Proposals nobody agreed to go under open questions.
Action items: a table of owner, task, due. One named person per
task, never "the team". Start each task with a verb. If no date
was said, write "no date set".
Open questions: anything raised but not settled.
Discussion: 3 to 5 one-line bullets that explain the decisions.
Not covered: agenda items that weren't discussed.

Use names exactly as they appear. Add nothing that isn't in the
transcript. Keep it to one screen.

A worked example

Illustration: a made-up business. Ines runs a weekly warehouse meeting and keeps the prompt in a project with the agenda attached. On Monday 2 November she pastes the transcript. Part of it:

From the transcript

Ines: Returns keep piling up on Mondays because Saturday's shift is picking orders. So, agreed: the Saturday pick shift moves to Friday night from 20 November, and Saturday goes to returns.
Tom: I'll tell the shift leads by Wednesday.
Ravi: Friday nights might cost more in overtime.
Ines: Ravi, can you check by Friday?
Ravi: Sure.
Tom: And the new scanners?
Ines: Let's wait for the vendor's date.

The minutes

Warehouse weekly · Monday 2 November · Ines, Tom, Ravi

Decisions
- The Saturday pick shift moves to Friday night from 20 November, so Saturday goes to returns.

Action items
- Tom: tell the shift leads about the Friday shift · Wednesday 4 November
- Ravi: check the overtime cost of Friday nights · Friday 6 November

Open questions
- When do the new scanners arrive? Waiting on the vendor's date.

Discussion
- Returns pile up on Mondays because Saturday's shift picks orders.
- Moving the pick shift frees Saturday for returns.
- Friday nights may cost more in overtime; Ravi is checking.

Not covered
- Holiday rota

Ines reads the decision and both dates against the transcript and posts it to the team channel. "Holiday rota" came from the agenda file, so it goes first on next week's list.

Next step: one format for the team

Once your minutes come out the same every week, the next gain is everyone's minutes coming out that way, whoever runs the meeting. One minutes format for the whole team covers agreeing the format, sharing it where everyone's AI reads it, and who posts the minutes where; getting your team to use AI the same way covers the same for other tasks. Questions

What is a good prompt for meeting minutes?

Ask for decisions first (only what was agreed), then action items with one named owner, a verb-first task and a due date each, then open questions, three to five bullets of discussion, and agenda items not covered. Tell it not to add anything that isn't in the transcript.

How do I save a prompt in ChatGPT so I don't paste it every time?

Put it in a project's instructions and paste each transcript into a chat in that project. In Claude, use a project the same way, or save it as a skill, which loads when you ask for minutes in any chat.

What if nobody said who would do something?

Don't let the AI guess. Ask it to list the task under open questions, or with 'no owner', and settle it in the next meeting. The same goes for a missing date: 'no date set'.
