How to write a weekly client report with ChatGPT or Claude
ChatGPT or Claude can turn your notes into a weekly client report the client reads in a minute: the status first, then what you need from them, then the week. Paste your notes, the agreed deliverables and dates, and the numbers the client asked to see, and ask for a one-line status (on track, at risk or off track, the red-amber-green scale the UK's Infrastructure and Projects Authority uses for major projects) with the reason and its consequence. Right under it go the client's asks, each with a date and what happens if it's late, then what's done as outcomes, next week's commitments and the metrics against target. About 250 words, and nothing your notes don't say.
Short answer
- Status first: on track, at risk or off track, and why.
- Client's asks right under it, with dates.
- Done as outcomes; next week as commitments.
- One screen; only what your notes say.
The brief to copy
Weekly client report brief
"Write this week's report for [client], week of [date].
Status: on track, at risk or off track, with one sentence naming the cause and the consequence. At risk means fixable if handled now, so name the fix and its date. Under it, what we need from the client: up to 3 asks, each with a date and what happens if it's late.
Then done this week as outcomes, not activity (up to 6), next week as commitments the client can check (up to 5), and only the metrics in our agreement, with target and change since last week. Blockers with an owner. About 250 words. Use only what's in my notes and the agreement.

A worked example
Illustration: a made-up business. A freelance developer builds an online booking page for a yoga studio, with 40 hours agreed and launch set for Friday 20 November. This week the class timetable and booking form went live on staging and confirmation emails work. The studio still hasn't sent the keys for its payment provider, asked for on 2 November, and without them by Thursday 12 November, launch moves to 27 November. 26 of the 40 hours are used. The report:
Lotus Yoga: weekly report, week of 9 November
Status: At risk. The payment provider's keys haven't arrived, so launch moves from 20 to 27 November unless they arrive by Thursday 12 November.
What we need from you: the payment provider's API keys, by Thursday 12 November. After that, launch moves to 27 November.
Done this week: class timetable live on staging; booking form live on staging; confirmation emails sent on every booking.
Next week: payments working on staging; tested on phones.
Hours: 26 of 40 used.
Blockers: payment keys, owner: the studio, asked for on 2 November.
The studio's owner read the first line on her phone and sent the keys that afternoon. The next report went back to on track.
What stays with you
- Write honest notes; the report can only be as true as they are.
- Pick the status yourself if the AI's choice feels too kind.
- Check every date against the agreement.
- Keep other clients' details out of the chat; one project per client helps.
- Send it the same day each week, so the client knows when to look.
Next step: save the brief with your other prompts
A weekly report is the prompt you'll use most. ChatGPT prompts for freelancers, saved so you don't paste shows where to keep it, next to your proposal and scope prompts.

Questions
Can ChatGPT write a weekly client report?
Yes, from your notes. Paste what happened this week, what the agreement says you'll deliver and when, and the numbers the client asked for, then ask for the status line first, the client's asks under it, and the rest in short lists. Tell it to use only what's in your notes, so it never reports progress you didn't make.
What should a weekly client report include?
A one-line status (on track, at risk or off track) with the reason and what it changes; what you need from the client, by when, and what happens if it's late; what's done, written as outcomes; next week's commitments; and the three to five metrics the client asked for, against target. About one screen.
How do I report a delay to a client?
In the first line, with the cause and the consequence: "At risk: the payment keys haven't arrived, so launch moves from 20 to 27 November unless they arrive by Thursday." Then the ask that fixes it, with a date. Plain words, no "slightly": the client should be able to act on the first line alone.
