How to write customer support replies with ChatGPT or Claude

ChatGPT or Claude can draft a support reply that sounds like a person on your team, if you give it the facts and ask for the answer first. Paste the customer's message with what's true, what was done and what the policy is, and ask for a reply that answers in the first sentence, says no plainly when the answer is no and then offers what the customer can do instead. It should own a mistake once, use the button and menu names the customer sees, and end with one next step, with a time if you own it. Anything it couldn't confirm from your facts goes on a list to check before you send.

Short answer

  • Answer first, even when it's no.
  • One apology if it was your mistake.
  • Screen names, not internal words.
  • One next step, with a time if you own it.

The brief to copy

Support reply brief

"Draft a reply to this customer. Our tone: [3 rules, or 2 past replies we liked].

Find every question they're asking and answer them in the order they care about. The first sentence is the answer; if it's no, say no, give the reason in one line, and say what they can do instead. If it was our mistake, say so once and what we did about it. Use the names on screen, in bold. End with one next step, with a time if we own it, never "let us know if you have any questions". 40 to 120 words.

Use only these facts; mark anything else [check: ...] and list those at the end: [facts]

Customer's message: [paste]"

A worked example

Illustration: a made-up business. A customer of a salon booking app writes: "Can my bookings go into Google Calendar automatically? I've looked everywhere!" The facts: there's no direct Google Calendar sync yet; any calendar app can subscribe to the bookings feed under Settings > Calendar feed, and Google Calendar adds one under Other calendars > From URL; the request is on the product list. The draft:

Re: Bookings in Google Calendar

Hi Leah,

Not automatically yet, but you can have Google Calendar follow your bookings through your calendar feed.

1. In the app, open Settings > Calendar feed and copy the link.
2. In Google Calendar, choose Other calendars > From URL and paste it.

New bookings then appear in Google Calendar on their own. I've added your name to the request for direct sync, and we'll email you when it's available.

Jo, Bookly support

Facts to confirm before sending: [check: how often Google refreshes the feed]

The agent checks the refresh time in the help center before sending, and adds it in one line so Leah isn't surprised when a new booking takes a while to show up.

What stays with you

  1. Give the facts, not just the customer's message; the AI can't look up the account.
  2. Remove card numbers and passwords before pasting, and use the company's account.
  3. Clear every [check] before the reply goes.
  4. Promise only what the team will do, and when.
  5. Read it as the customer one last time.

Next step: one tone for the whole team

Once your own replies are right, the next problem is five agents sounding like five companies. Make your support team's AI replies sound like you covers the shared tone guide every agent's AI uses.

Questions

Can ChatGPT write customer support replies?

It can draft them well if you give it the facts: the customer's message, what's true, what was done and what the policy is. Ask for the answer in the first sentence and one next step at the end, and have it list any fact it had to mark for checking. A person reads every reply before it goes, because it speaks for the company.

How do you say no to a customer politely?

Say no in the first sentence, give the reason in one line, then what they can do instead. "Not automatically yet, but you can..." works better than three lines of thanks before the answer. If you've passed their request on, say so, but don't promise a date you don't have.

How do I keep AI replies from sounding robotic?

Give it your tone in a few rules and two or three past replies you liked, and ban the phrases that sound like a form letter, such as "we apologize for any inconvenience" and "let us know if you have any questions". One apology, specific to what happened, and the customer's first name.
