How to set up a Claude project for finance reporting

For finance reporting, set up one Claude project and give it three things. Instructions with your KPI definitions, the status rule (on track, at risk, off track) and one hard rule: every number comes from the files or the table pasted in. Knowledge files with the definitions, this year's targets and the last few monthly reports. And a brief for the job that repeats every month, the KPI summary: each change worked out against last month and target, a status per KPI, a reason only where the input gives one, a one-sentence headline, and up to three things to act on. Projects are on every Claude plan (up to five on Free); keep financial data on the company's account, and share the project with the team on Team or Enterprise.

Short answer

  • Instructions: KPI definitions, the status rule, no invented numbers.
  • Knowledge: definitions, targets, last reports.
  • The brief: changes, status, reasons from evidence, up to three actions.
  • Check every figure against the source.

The brief to copy

Monthly KPI summary brief

"Write this month's KPI summary from the table.

First check the table: work out each change against last month (amount and %) and the gap to target. Flag anything inconsistent at the top; don't fix it.

Status: on track at or above target; at risk within 10% below; off track more than 10% below. Flip it for KPIs where lower is better.

Give a reason only from a fact in the notes; otherwise write 'reason not given'.

Headline: one sentence with the most important result and what it means. Then up to three things to act on, each with the KPI, the action and the owner if the notes name one. End with the gaps.

Table and notes: [paste]"

A worked example

Illustration: a made-up business. The finance lead at a 40-person software company pastes October's table and one note: "the October webinar was cancelled".

KPISept → OctTargetStatus
Monthly recurring revenue410,000 → 422,000 (+12,000, +2.9%)430,000 (1.9% below)At risk
New customers38 → 31 (−7, −18.4%)40 (22.5% below)Off track: the webinar was cancelled
Customer churn (lower is better)2.1% → 2.8% (+0.7 points)2.0% or less (40% worse)Off track: reason not given
Cash runway20 → 19 months (−1 month)18 months or moreOn track

From the summary

Headline: new customers fell to 31, 22.5% below target, after the October webinar was cancelled, and churn rose to 2.8%; revenue grew 2.9% but is still 1.9% short of target.
Act on: 1. New customers: reschedule the webinar (marketing lead). 2. Churn: find the reasons behind October's cancellations [owner not given].
Gaps: why churn rose; who owns the churn review.

The finance lead checks the four numbers against the ledger export and asks the customer success lead about churn before it goes to the leadership meeting.

Set yours up

  1. Create one project for reporting.
  2. Write the instructions: KPI definitions, the status rule, no number that isn't in the input.
  3. Add the knowledge: definitions, targets, the last three reports.
  4. Run the brief on last month's table and compare it with the report you sent.
  5. Keep financial data on the company's account; see what not to paste.

Next step: the finance skills

A brief that works every month is ready to become a skill the whole team uses. Claude skills for finance covers the five to set up first. For prompts one person keeps, see ChatGPT prompts for finance.

Questions

How can a finance team use Claude?

Set up one project for reporting: instructions with your KPI definitions and the rule that every number comes from the files; knowledge with the definitions, the targets and the last few monthly reports; and a chat per month. The job that repeats is the monthly KPI summary for leadership.

How do I stop Claude inventing numbers in finance work?

Say it in the project's instructions: use only numbers in the files or the table pasted in, work out every change, and write "reason not given" when nothing in the input explains a change. Then check every figure against the source before the report goes out.

Can the finance team share one project?

On Claude Team and Enterprise, yes, as Can view or Can edit. Keep edit with the person who owns the KPI definitions, so the rules change in one place. Financial data belongs on the company's account, which isn't used for training by default.
