AI tools for small-business finance, compared
For a small finance team, AI comes in three places: inside your accounting software (QuickBooks' Intuit Intelligence categorizes, reconciles and chases payments; Xero's JAX captures documents and reconciles the bank, on the real ledger), in your spreadsheets (Copilot in Excel builds formulas, charts and PivotTables), and in a general AI assistant such as ChatGPT Business or Claude Team, which writes and explains around the numbers but doesn't post to your books. Start with what your accounting plan already includes. Plans and prices change often, so this page links each vendor's pricing page instead of quoting prices.
Short answer
- In the books: your accounting software's own AI.
- In spreadsheets: Copilot in Excel, if your Microsoft 365 licence includes it.
- Around the numbers: a general AI assistant on a business plan.
- Prices: see each vendor's page; they're linked below with the date read.
What each one does
| Tool | What the vendor says it does | Where it is | Pricing |
|---|---|---|---|
| QuickBooks Online (Intuit Intelligence) | Categorizes expenses and AI chat (Simple Start); Accounting AI and Payments AI (Essentials); auto-categorized and verified transactions, reconciliation and anomaly checks (Plus); Finance AI (Advanced) | Inside QuickBooks; features grow with the plan | QuickBooks pricing, as of 5 Nov 2026 |
| Xero (JAX) | Smart Document Capture and Auto Bank Reconciliation available; payment follow-ups, bill protection and cash-flow actions announced as coming | Inside Xero; document capture in all three US plans, auto-reconcile in Growing and Established | Xero pricing, as of 5 Nov 2026 |
| Copilot in Excel | Formulas across sheets, charts and PivotTables, insights from your data | In Excel; Microsoft says it may not be included in your Microsoft 365 subscription | Ask your Microsoft 365 admin; see Microsoft's Copilot in Excel page |
| General AI assistant (ChatGPT Business, Claude Team) | Explains variances, drafts notes and letters, checks a checklist; business plans don't train on your data by default | A separate app; it doesn't post to your books | ChatGPT pricing and Claude pricing, as of 5 Nov 2026 |

A worked example: what a 25-person business chose
Illustration: a made-up business. A 25-person landscaping company on QuickBooks Essentials has one finance manager, Ana, and an outside accountant. She lists what costs her time each month and scores four options on three criteria she set first: hours saved, who reviews the output, and whether her current plan already includes it.
- Receipt chasing and categorizing: the Accounting AI in her Essentials plan already covers it. No change.
- Reconciliation and anomaly checks: on QuickBooks' page these sit in Plus. She checks the Plus price on the vendor's page and weighs it against the four hours a month it would save.
- The monthly variance note for the owner: a general AI assistant on the company's Claude Team account, with the threshold and format saved as a skill.
- Copilot in Excel: she rarely works in Excel; she drops it.
Her comparison sets out each option's cost over two years from the vendors' current pages, marks every claim that came only from a vendor's marketing as unverified, and recommends trying Plus for one quarter.
How to choose
- List the month's finance tasks and the hours each takes.
- Check what your current accounting plan already includes on the vendor's pricing page.
- Set your criteria before comparing: hours saved, who reviews, data rules, cost.
- Price each option on the vendor's page that day, not from a blog.
- Try the upgrade for one quarter and measure the hours.
Whatever you choose, client and company data follow the same rules: client data and AI in finance. For the writing tasks, see Claude skills for finance.

Questions
What AI tools help with small-business accounting?
The AI built into your accounting software, working on the real books: QuickBooks' Intuit Intelligence categorizes, reconciles and chases payments, and Xero's JAX captures documents and reconciles the bank; Copilot in Excel for analysis in spreadsheets; and a general AI assistant for the writing around the numbers. Most small teams start with what their accounting plan already includes.
Which QuickBooks plan includes AI?
On QuickBooks' pricing page (read 5 November 2026), Simple Start lists expense categorization and an AI chat in beta; Essentials adds Accounting AI and Payments AI; Plus adds verified auto-categorization, reconciliation and anomaly checks; Advanced adds Finance AI. Check the page for current plans and prices.
Can I use ChatGPT for bookkeeping?
For explaining, drafting and checking, yes, in a company account that doesn't train on your data. It doesn't post to your books: categorization and reconciliation belong in your accounting software, where its AI works on the real ledger.
AI skill
Have your AI compare vendors on what matters to you
Put this skill in AI Skill Pod and everyone on your team gets it in their Claude, Cursor or ChatGPT (Pro, Business, Enterprise): one invite link, free to start. Before you upgrade a plan for its AI, Vendor comparison with weighted scores has your AI score these options on your own criteria, such as what you'd stop doing by hand and who reviews it, and set out each one's cost over the contract term from the vendor's current page.
