Guide
How to write an overdue invoice reminder with AI
ChatGPT or Claude can write overdue invoice reminders that get paid without souring the relationship, if every email puts the facts first and gets firmer only as the delay grows. Give it the invoice number, amount, due date, how to pay, how many days late it is and what the contract or the law allows, and ask for the email that fits the stage: a heads-up a few days before the due date, a polite reminder at 7 days, a direct request for a payment date at 14, and a short, formal note at 30 or more. Late fees, interest or a pause in service appear only if the contract or the law allows them (in the UK, statutory interest on late B2B payments) and you'll really act on them. A disputed invoice doesn't get a reminder at all; it gets an answer to the dispute.
Short answer
- Facts first: invoice number, amount, due date, how to pay.
- Tone by stage: before due, 7, 14, 30+ days.
- Consequences only if the contract or the law allows them.
- One ask: pay, or reply with a date.
The brief to copy
Payment reminder brief
"Write the reminder for this invoice. Today is [date].
Stage from the days overdue: a few days before due, a friendly heads-up; 7 days, a polite reminder that assumes an oversight; 14 days, direct, asking for a payment date and offering to fix anything wrong with the invoice; 30 days or more, short and formal, with the next step and its date.
Subject: the invoice number and its status. First lines: amount, due date, how to pay. Mention late fees, interest or pausing service only if the contract or the law allows it and we've decided to do it: [terms]. If the customer disputed the invoice or paid part of it, answer that instead. End with one ask. At 14 days or later, copy the person who approves invoices if I name them.

A worked example
Illustration: a made-up business. A cleaning-supplies wholesaler chases invoice 5318: 1,260.00 for October's restock, due 20 October, payable by bank transfer or at a payment link. The contract allows a late fee, but the owner has decided not to charge it this time. A 7-day reminder went unanswered, and today is 3 November, 14 days after the due date. The email:
Invoice 5318: 14 days overdue
Hi Priya,
I'm following up on invoice 5318 for 1,260.00, due on 20 October and now 14 days overdue. You can pay by bank transfer to the details on the invoice, or at [payment link].
Could you reply with the date we can expect payment? If anything on the invoice is wrong, tell me and I'll correct it this week.
I've copied your accounts team, who approve our invoices.
Thanks,
Sam, Accounts, Brightline Supply
The late fee isn't mentioned, because the owner won't charge it. If the invoice reaches 30 days, the next email states the one step the wholesaler has decided on, holding new orders until it's paid, and the date that starts.
What stays with you
- Check the invoice first: sent to the right person, right amount, nothing disputed.
- Decide the consequences before you write them; a threat you won't carry out costs you the next one.
- Paste invoice details, not bank logins or card numbers.
- Keep promotions out of reminder emails.
- Log each reminder and the reply, so the next stage starts from the facts.
Next step: save the reminders with your finance prompts
Reminders run every month, so keep the brief with your other finance prompts. ChatGPT prompts for finance, saved so you don't paste shows where each one goes.

Questions
Can ChatGPT write a payment reminder email?
Yes. Give it the invoice number, amount, due date, how to pay, how many days overdue it is and what the contract or the law allows on late fees, and ask for the reminder for that stage. It should put the facts in the first lines, end with one ask (pay, or reply with a payment date), and leave out any consequence the contract or the law doesn't allow.
How do you write a reminder that's firm but polite?
Let the stage set the tone. A few days before the due date and at 7 days, assume an oversight. At 14 days, ask directly for a payment date and offer to fix anything wrong with the invoice. At 30 days or more, be short and formal and state the next step and its date, but only a step you'll really take.
Do payment reminders need an unsubscribe line?
Not in the US when the email is only about an invoice the customer agreed to: the FTC's CAN-SPAM guide treats such transactional messages as exempt from most of the Act's requirements, so keep promotions out of them. Collection law is different again: the FDCPA covers consumer debts, and a business chasing its own business-to-business invoice in its own name isn't a debt collector under it. State rules can add more; check yours.
