How to write a job description with ChatGPT

To write a job description with ChatGPT, give it what it can't invent: what the person will do in the first six months, the few things you'd reject a candidate for lacking, and a real pay range. Ask for an honest, searchable title, at most five must-haves, plain language, and how to apply, in 300 to 600 words. Then check two things the AI can't decide for you: whether the law where the role can be filled requires the pay range in the post, and whether any wording discourages a protected group.

Short answer

  • Give it: the first six months, the must-haves, the pay range.
  • Ask for: an honest title, at most five must-haves, 300 to 600 words.
  • Check the pay rules where the role can be filled.
  • Check the wording for anything that discourages a protected group.

The brief to copy

Job post brief

"Write a job post for [role] at [company], reporting to [manager], based in [place / remote].

Use the title people search for. Opening: two or three sentences on what the team does and why the role exists now.

The first six months, as outcomes: [3 to 5].

Must-haves (at most five, each something we'd reject a candidate for lacking): [list]. Write each as the skill or experience itself, not a number of years. Everything else goes under nice-to-haves.

Pay: [range, and what it covers]. Say if the role is commission-based.

How to apply: [link], what to send, the steps, and how to ask for adjustments.

300 to 600 words. No 'rockstar', 'ninja', 'recent graduate' or 'digital native'."

A worked example

Illustration: a made-up business. A 30-person home-insurance agency in Albany, New York, is hiring someone to run customer support. The owner's first draft title was "Customer Happiness Hero". The brief gives the real job, and ChatGPT returns a 410-word post. Without the benefits list, it reads:

From the draft

Customer Support Lead · Albany, NY · $58,000 to $66,000 base per year, not commission-based

We look after the home and renters policies of 4,000 households. Support has grown from one person to three this year, and we need someone to run it day to day. You'll report to the operations manager.

Your first 6 months: by month 2, you own the shared inbox and the phone rota; by month 3, you run the weekly support report on your own; by month 6, every claims question gets an answer within one business day.

You must have: experience answering customers' questions about insurance or another regulated product; experience running a team's shared inbox or rota; clear written English.

How to apply: send your CV through the link; next come a 20-minute call and one interview. Need an adjustment to apply or interview? Email the hiring address.

The owner checks two things. New York State's pay transparency law covers businesses with four or more employees, so the range, the job description and "no commission" stay in. And the owner's notes had asked for "an energetic recent graduate with 3+ years": the post names the experience itself instead, because the EEOC gives "recent college graduates" as wording that may discourage applicants over 40, and Acas, the UK's workplace advice service, lists "recent graduate" and "highly experienced" as wording that can discriminate on age.

Check before you post

  1. The title is one a candidate would search for.
  2. Every must-have is something you'd reject someone for lacking; there are five at most.
  3. The pay line meets the rules where the role can be filled: New York State and California require it in the post, and other places have their own rules.
  4. The wording doesn't prefer or discourage a protected group.
  5. How to apply says what to send, the steps, and how to ask for adjustments.

Next step: keep the brief

With several roles open, you'll paste this brief often. HR prompts, saved shows where to keep it with your company's style. For the rules around AI in hiring, see the HR guide to an employee AI policy.

Questions

Can ChatGPT write a job description?

Yes, from a brief you write: the role, the first six months of work, what you'd reject a candidate for lacking, and a real pay range. Without those it fills the post with generic requirements and buzzwords.

Do I have to put a salary range in a job post?

In some places, yes. New York State requires a compensation range from employers with four or more employees, and California requires the pay scale in the posting itself from employers with 15 or more. Check the rules where the role can be filled.

What wording should a job post avoid?

Anything that shows a preference for a protected group or discourages people from applying. The EEOC gives 'recent college graduates' as an example that may discourage people over 40; 'rockstar' and 'ninja' just tell candidates nothing.
