Gemini Gems on Google Workspace: sharing, the admin setting and the move to skills
On Google Workspace accounts, Gems stay until 2027: Google moves business, enterprise and non-profit accounts to skills in March 2027 and education accounts in June 2027, while personal accounts turn read-only on 17 November 2026. At work, sharing a Gem follows your organization's Drive sharing settings, and an admin turns Gem sharing on or off in the Admin console under Generative AI, Gemini app, Gem sharing; turned off, Gems already shared stay reachable from Drive. Plan the move now, because skills aren't on work accounts yet: write each Gem as a skill, and put the ones your team also uses in Claude, Cursor or ChatGPT (Pro, Business, Enterprise) in AI Skill Pod, where everyone gets them from one invite link.
Short answer
- Workspace: March 2027; education June 2027.
- Sharing follows Drive's settings.
- The admin turns Gem sharing on or off.
- Write the skills now, before the date.
When Gems change, by account
| Account | Gems become skills |
|---|---|
| Personal, 18 and over | 17 November 2026, read-only; removed 17 December 2026 |
| Workspace business, enterprise, non-profit | March 2027 |
| Workspace education | June 2027 |
From Gemini Apps Help, read 5 November 2026. Google says skills come to work and school accounts "soon", and sharing skills arrives "in the coming weeks".
The admin setting for Gem sharing
- Sign in to the Admin console with the Gemini Settings administrator privilege.
- Go to Menu > Generative AI > Gemini app and scroll to Gem sharing.
- Select Allow users to share Gems, or clear it, for an organizational unit or a configuration group; group settings override the unit.
- Allow up to 24 hours for the change.
Shared Gems live in Drive, so Drive's rules decide who outside the organization can open one. Turning Gem sharing off stops new sharing from the Gemini app; Gems shared before stay reachable and shareable from Drive.
Plan the move in five steps
- List the Gems people rely on, with each one's owner and who it's shared with.
- Check their files. GitHub, audio, video, .doc, .xls, .ppt and archive files won't move to a skill, and a skill holds up to 100 MB.
- Write each Gem as a skill now, with a description that says when to use it, and keep the SKILL.md outside Gemini.
- Give owners a successor for Gems whose owner leaves before 2027; ownership can be transferred to someone with access.
- Share the skills where the team works, including the people who use another AI.
A worked example: one company, two kinds of users
Illustration: a made-up business. A 40-person retailer on Workspace Business has a dozen Gems. The admin allows Gem sharing for the whole organization, but Drive sharing outside the domain is off, so the two freelance copywriters on their own domains can't open the "Product copy" Gem.
- Staff keep using the Gems until the move in March 2027.
- The marketing lead writes "Product copy" as a skill now and adds it to the company's pod, so the freelancers get it in their own Claude.
- The rest are written as skills one team at a time, so nothing is left for the week of the switch.

Next step: Gems or Claude skills
If part of the team works in Claude, compare what each holds before you write the skills. Gemini Gems vs Claude skills covers the differences and what carries over.
Skills for this

- AI practiceContext brief for an AI assistantWrites instructions for an AI assistant or agent: role, audience, can and can't, sources of truth, tools, format, examples, edge cases, and handoff.
- Operations and adminSOP from an explanation or recordingTurns an explanation or screen-recording transcript into an SOP with a trigger, roles, exact-label steps, decision points, checks, and an owner.
Questions
When do Gems change on Google Workspace?
Google's help says Gems move to skills in March 2027 on Workspace business, enterprise and non-profit accounts, and in June 2027 on education accounts. Personal accounts change sooner: Gems there turn read-only on 17 November 2026. Skills aren't on work and school accounts yet; Google says they're coming soon.
How does a Workspace admin turn Gem sharing on or off?
In the Admin console, go to Menu > Generative AI > Gemini app, scroll to Gem sharing and select Allow users to share Gems, for an organizational unit or a group. It needs the Gemini Settings administrator privilege and can take up to 24 hours. Turned off, people can't share from the Gemini app, but Gems already shared stay reachable from Drive.
Can Workspace users share Gems outside the organization?
Only as far as your Drive settings allow, because shared Gems are stored and shared through Drive. If people may share documents outside the organization, they can share Gems outside it too; if not, a contractor on another domain can't open a shared Gem.
AI skill
Have your AI turn a prompt that works into a skill your team can reuse
Put this skill in AI Skill Pod and everyone on your team gets it in their Claude, Cursor or ChatGPT (Pro, Business, Enterprise): one invite link, free to start. Paste a Gem's name, description and instructions, and Turn a prompt into a skill has your AI rewrite them as a skill: a description that says when to use it, numbered steps and checks, ready to share with the team.
