Microsoft 365 Copilot vs ChatGPT Business: which fits your team
Microsoft 365 Copilot is an add-on to a Microsoft 365 plan that works inside Word, Excel, PowerPoint, Outlook and Teams and can draw on your company's mail, files and meetings, while ChatGPT Business is a separate AI workspace with its own projects, skills and connections to other tools. Neither trains on your data, so the choice comes down to where your team works: in Microsoft's apps all day, or in a chat workspace that reaches beyond them. To share one set of methods, Copilot has team prompts, and ChatGPT Business takes skills, which AI Skill Pod delivers to everyone's Claude, Cursor or ChatGPT (Pro, Business, Enterprise) from one invite link; the pod's connect steps don't cover Copilot.
Short answer
- Copilot: inside Microsoft 365, with your mail and files.
- ChatGPT Business: its own workspace, skills and connectors.
- Neither trains on your data.
- Choose by where the team works.

From Microsoft Learn and OpenAI's ChatGPT Business and billing pages, read 5 November 2026. Prices: Microsoft and ChatGPT pricing. Copilot Chat without the add-on comes with eligible Microsoft 365 plans and mainly uses web data. Microsoft's licensing pages now call the paid add-on Microsoft Copilot.
A worked example: one company, two groups
Illustration: a made-up business. A 40-person distributor runs on Microsoft 365 Business Standard. Its finance and sales staff spend the day in Outlook and Excel; its six-person product team wants an AI workspace that connects to its design and project tools. The operations lead:
- Buys Copilot Business for finance and sales, where the add-on reads their mail and spreadsheets.
- Buys ChatGPT Business for the product team, which works in projects and connects its other tools.
- Writes the shared methods once, such as the customer-update format: as a team prompt in Copilot, and as a skill in the company's pod, which the product team's admin adds to ChatGPT Business.
AI Skill Pod is this site's product. Pod pricing: Free up to 3 members and 10 skills; Team $5 per seat a month from 3 seats.
Choose in three questions
- Where does the team work all day? In Outlook, Word and Excel, Copilot meets them there.
- Does the work need tools outside Microsoft? Check each one in ChatGPT Business's apps and in Copilot's connectors before you buy.
- Do the methods need to reach other AIs? Skills do; team prompts stay in Copilot.

Questions
Is Microsoft 365 Copilot better than ChatGPT Business?
For a team that lives in Outlook, Word, Excel and Teams, Copilot works where they already are and can draw on the company's mail and files. For a team that wants a separate AI workspace with projects, skills and connections to other tools, ChatGPT Business fits better. Many companies end up with both for different groups.
Do you need Microsoft 365 to buy Copilot?
Yes. Microsoft sells the paid Copilot as an add-on to an eligible Microsoft 365 or Office 365 plan, or inside Microsoft 365 E7. Copilot Business is the add-on for organizations with up to 300 users on Microsoft 365 Business plans, with an annual commitment.
Does Microsoft 365 Copilot or ChatGPT Business train on our data?
Neither does. Microsoft says Copilot's prompts and responses aren't used to train the underlying foundation models, and OpenAI says ChatGPT Business data is never used for training.
