Adding and removing seats on Claude Team and ChatGPT Business

On Claude Team, an Owner adds seats from Organization settings and pays the prorated amount right away, but a lower seat count only starts at the next renewal, and removing someone gives no refund or credit. OpenAI's help gives ChatGPT Business the same rules: an added seat is charged at once, and a lower count applies only from a future invoice or renewal. So a seat bought for a one-month contractor is paid until renewal, which on annual billing can be most of a year. When the contractor needs your team's instructions rather than your workspace, share them as skills through AI Skill Pod, where one invite link reaches the Claude, Cursor or ChatGPT (Pro, Business, Enterprise) they already use.

Short answer

  • Adding a seat: charged at once, prorated.
  • Lowering the count: from the next renewal.
  • Removing a person: frees the seat; no refund.
  • A short seat is paid until renewal.

A worked example: the January contractor

Illustration: a made-up business. A seven-person accounting firm pays for Claude Team annually, renewing in September. It hires a contractor for the January year-end close and wants her to use the firm's close checklist and client-email instructions in Claude.

  • With a seat: the owner adds a standard seat in January and pays for the rest of the annual term at once. Lowering the count in February takes effect only at the September renewal.
  • With skills: the contractor already pays for her own Claude. The firm's two skills sit in its pod; she joins from the invite link on her own email, and in February the owner removes her, which cuts her AI off from the skills right away.

The firm buys a seat only when someone needs its projects and connected tools, not just its instructions.

Before you add a seat

  1. Ask what the person needs: the workspace's projects, chats and connectors, or only the team's instructions.
  2. Check the billing period. On annual billing, a seat added mid-term is paid until the annual renewal.
  3. Clear pending invitations on Claude Team, since they count toward the seat total.
  4. Reassign before you buy. A seat freed by someone who left can go to the newcomer.
  5. Review every seat before the renewal, and lower the count then.

Questions

How do I add a seat on Claude Team?

An Owner or Primary Owner opens Organization settings, then Organization and access, chooses Manage under Total seats, then Add or change seats, adds a standard or premium seat and confirms. New seats are prorated for the rest of the billing period and charged right away.

Do I get money back when I remove someone from Claude Team?

Not right away. Anthropic's help says removing a member doesn't trigger an immediate credit or refund, and lowering the seat count takes effect at the next renewal, which on annual billing is the annual renewal date. The freed seat can go to someone else until then.

Is a seat worth buying for a one-month contractor?

Only if they need your workspace itself: its projects, chats and connected tools. On Claude Team and ChatGPT Business a seat lowered after a month is still paid until the next renewal. If the contractor needs only your team's instructions, share them as skills to the AI they already pay for.
